1. Overview

NorthGatePay (“we”, “us”) operates a customer support portal that helps you locate and track payments you have made with a credit or debit card. This policy explains what information we collect when you use the portal, why we collect it, and the choices you have. We aim to collect as little as possible and to keep what we do collect safe.

In short: we use the details you enter only to find your payment and respond to you. We never ask for your full card number, CVV or PIN, and we do not sell your data.

2. What we collect

When you submit a tracking request, we collect the information you provide in the form:

  • Contact details — your email address, so we can send you the result.
  • Transaction details — the payment reference, amount, currency and date you enter.
  • Optional verification — the last four digits of your card, if you choose to provide them.

We also collect limited technical information automatically, such as your browser type, approximate region and the time of your request, to keep the portal secure and working correctly.

What we never collect

We do not ask for, store or process your full card number, card expiry date, security code (CVV/CVC) or PIN. If any website claiming to be NorthGatePay asks for these, do not provide them and contact us.

3. How we use it

We use the information you provide to:

  • Match your request against processed payments and confirm the status of your transaction.
  • Email you the result, including a receipt where available.
  • Respond to follow-up questions and provide customer support.
  • Detect and prevent fraud, and keep the portal secure.

We process this data because it is necessary to provide the support service you requested and to meet our legal and security obligations.

4. When we share data

We share your information only where it is needed to answer your request:

  • With payment processors and the relevant merchant, to locate and verify your transaction.
  • With service providers who host and secure the portal on our behalf, under strict confidentiality terms.
  • Where required by law, regulation or a valid legal request.

We do not sell your personal information, and we do not use it for third-party advertising.

5. How long we keep it

We keep tracking requests only as long as needed to resolve them and to meet our record-keeping obligations — typically up to 24 months — after which the data is deleted or anonymised. You can ask us to delete your request sooner (see “Your rights”).

6. Cookies

We use a small number of essential cookies to keep the portal secure and to remember your preferences during a session. We do not use advertising or cross-site tracking cookies. You can control cookies through your browser settings; disabling essential cookies may affect how the portal works.

7. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct inaccurate data.
  • Ask us to delete your data.
  • Object to or restrict certain processing.
  • Request a copy of your data in a portable format.
